    Job Description: Administrative Assistant

    The MAPHN Administrative Assistant is a part-time paid position, averaging around 5 hours per week, with increased hours per week expected during preparation of the Annual Conference.

    The Administrative Assistant performs a wide variety of administrative duties. Most duties are performed remotely; in addition, there are in-person responsibilities during quarterly Board of Director meetings, special meetings, and the Annual Conference.                                                                                                                                          

    The Administrative Assistant provides administrative and clerical support to the members of the MAPHN leadership team. Responsibilities include: managing and disseminating information; handling administrative requests and queries; answering and directing email and phone calls; organizing and scheduling Board of Director meetings and other appointments; and performing other administrative tasks detailed below.                                                                                                      

     Duties may include:

            Create, organize, and maintain relevant files and databases in a confidential manner.                                             

            Answer and direct emails, and other correspondence and queries. Organize, coordinate, and attend in-person and virtual meetings.                  

            Help prepare presentation materials and take minutes if needed.

            Update and maintain MAPHN policies and procedures                                   

            Maintain contact lists

            Assist with planning and implementation of MAPHN Meetings and Annual Conference. Must attend MAPHN Annual Conference                                                

            Assist in the development of MAPHN Annual Report.                                               

            Organize, and update MAPHN Member Directory yearly or as needed.

            Serve as liaison for MAPHN technology, membership registration, and CEU programs.                                         

            Collaborate as needed with the Communications/Website Director.

            Organize and edit the biannual MAPHN newsletter, The Pulse, to be distributed in January and June.

            Other duties as assigned                                          

    Qualifications:

            Administrative assistant/office manager experience preferred; related work experience will also be considered.

            Experience in local public health or municipal government strongly preferred.

            Proficiency in Microsoft Office platform, ie, Word, Excel, Powerpoint, etc.

            Proficiency in Google platforms (G-Suite), ie, Google Drive, Google Meet, Google Calendar, Google Drive

            Strong critical thinking skills.

            Excellent communication and writing skills.

            Attention to detail and accuracy is essential.

            Ability to work independently or in a team environment as needed.

            Ability to set priorities and meet specified timelines in an independent manner.

            Ability to work on multiple projects or issues simultaneously.

            Ability to prioritize and adjust as conditions change.

            Ability to maintain a home office environment

    Hours and Compensation:

    Monthly stipend of $500/month. 1-yr contract, renewable annually.
